Elevating Our Vision: A Collaborative and Strategic Approach to Space

The high demand for space on our campus is a testament to our success and vibrancy. This reality presents a motivating challenge, requiring us to be strategic, efficient, and innovative as we plan for the future. Securing the right space is an ambitious, high-reward process that drives smarter planning.

Step 1: Maximizing Your Current Footprint

The fastest and most efficient way to meet your space needs is by innovating within your existing capacity. We ask that those with space requests first consult with their unit’s designated space representative (typically an Associate Dean or Department Director). This is the critical first step to determine if creative solutions can be found within the unit’s current area, allowing us to resolve many needs quickly.

Step 2: The Campus Space Request

For needs that successfully prove they cannot be met internally, the quest moves to the campus level. A Space Request Form should be completed. Please note that users must have a UMN email address to access this form.

Setting Expectations: A Strategic Timeline

Please know that because our space is so valuable and in high demand, not all requests can be accommodated in the near future. The strategic planning process may require an extended period to resolve, especially if a request is dependent on:

  • Availability: Securing space that is an ideal fit.
  • Sequencing with Other Key Initiatives: Fitting into the critical action plan of campus priorities.
  • Capital Projects: The longer timeline required for new construction or renovation projects. To initiate a request for new construction of renovation projects, please complete a Facilities Management Work Request.


Your input is critical! When completing the form, please clearly identify the extent to which funding is available to support your proposal. Demonstrating financial readiness strengthens your request and helps us prioritize and accelerate the most viable projects, at the same time, the lack of financial readiness should not prevent space needs critical to the mission from being identified. Requests that may involve philanthropic opportunities should also contact the Office of Advancement

Move Guide

(Please allow 2 weeks notice for all services.)

  • Inform Space Planning & Management of move: Fill out the Space Update Form, then scan and email to [email protected].
  • Access the Space: Request an access key through your department's authorized key requestor.
  • Transfer Furniture/Personal Items
    • Work Request is used to inform Facilities Management of your move and coordinate movers to transfer belongings. Before filling out the work request, you must have an account string from your department to bill the work to.
  • Transfer telephone/network services
    • Contact ITSS to activate a network data jack, disconnect service, coordinate the transfer of a phone line to a new location, change or upgrade phone services, order phone equipment.
  • Recycle electronics no longer needed:
  • Remove furniture:
    • Send a [email protected] email to see if another department could reuse the item.
    • If no interest, complete a Facilities Management work request for proper disposal. An EFS will be required.
  • Recycle (non electronic items): Check the Facilities Management Recycling page for recycling information.
  • How to handle other special waste.
